In this role, you will serve as the central point of coordination for the Executive Committee, ensuring seamless operations and serving as the heart of the organization. Job Description
- Travel and Logistics Management: Organize and manage business trips for the CEO and some of the board members (booking flights, hotels, and transportation)
- Calendar and Meeting Coordination: Manage the CEO’s calendar, prioritize tasks, and schedule meetings. Prepare agendas, coordinate inputs for board meetings, and consolidate notes from all departments. Record and distribute meeting minutes, ensuring actionable items are documented and followed up.
- Data and Expense Management: Track and report on budgets related to the Executive Committee’s activities.
- Administrative Support: Oversee document flow, including registering, distributing, and filing sensitive and legal documents for the Executive Committee. Manage the signature process for contracts and agreements.
- Process Optimization: Identify and implement improvements in administrative workflows to increase efficiency. Create process maps for document archiving and management to streamline audit preparation.
- Stakeholder Relations: Serve as the first point of contact for internal and external stakeholders, managing communication and correspondence effectively. Coordinate with relocation agencies to support expat employees.
- Event and Project Support: Plan and organize board meetings, and high-profile visits, ensuring all logistical arrangements are in place.
Requirements
- 3+ years in a similar administrative, executive assistant, or office management role
- Experience supporting C-suite executives or senior leadership preferred
- Exceptional organizational skills with the ability to manage multiple priorities
- Strong interpersonal skills to manage complex relationships with internal and external stakeholders
- Emotionally intelligent, with the ability to navigate complex situations
